This guide aims to help you manage your teams' email signatures (and yours) while on vacation. Everyone's departure and absences are an opportunity to adjust and optimize communication with your contacts.
Learn how to:

  • Anticipate closures
  • Add an absence message for you or your team
  • Find your signature in automatic absence messages

Announce your absence before going on vacation.

In each email signature template that you find on Signitic, an absence message variable is available at the user level.

It allows you to announce to all the contacts with whom you communicate by email that you will be absent for a few days or weeks. By doing this before your vacation, you allow them to deal with many topics at the right time.

Concretely:

  • Log in to your space on Signitic.
  • Click on the check mark: absence message
  • Edit your message and validate, the result appears
  • the sync is done automatically in your favorite messenger ✌️.

Deploy a closure message to the teams.

If you have a store, factory or offices that close for part of the year, you can announce it in advance in the teams' email signatures.
This makes it easier to take, for example, order for all customers who will need your products during the annual closure.

Concretely:

At the Organization level, in your Signitic interface, you can complete the absence message. Upon validation, it will be added automatically.

Add your signature as an automatic response on Gmail.

If you are going on vacation, you will probably activate an automatic absence message. Very often, these are summary. You can make a difference and remain professional by displaying your email signature (HTML) even in case of absence.

Here's how to do it on Gmail:

  • Select Settings (cogwheel icon)
    > See all settings.
  • On the tab General, scroll down to Automatic response.
  • Select the check mark Automatic response to activate it.
  • Check that above the text block the link (blue)”Text only” be displayed.

  • Important: If you have the text (blue)”Advanced formatting” that is displayed, click on it to change it to”Text only”.

  • Write your message, you can decide when you want to broadcast it and who you want to send it to.
  • Click on Save changes.

Bravo it's over.

Note: the signature is not visible in the frame but will be clearly visible at the reception for your contacts.

And if communications are deployed while you are away, they are updated automatically!
