About

If you are reading this article, it is because you are not the only decision-maker in the centralized management of email signatures project. And if you need to add a technical contact person into the loop, the best thing is to speak their language so that they understand what you want from them.

Here is the checklist updated in September 2025 to guide you.

The 2025 checklist:

  • Do I need my CTO or IT Manager?
  • What should I ask my IT manager?
  • What synchronizations should I activate?
  • What are the benefits of Signitic for the IT team?
  • In what order do you synchronize?
  • The answers to the usual questions.

They did it before you;)

Each month, we receive a lot of feedback from the marketing and communication teams on the success of the project.
And because at Signitic we built the product entirely by ourselves, we know how to talk about it technically, in a precise way. And with the same language as your IT manager.
Here is an example of feedback:

“Seamless integration with Google Workspace. Great customer service. It is the most secure solution we could find, which does not require access to our email exchanges. And ongoing management is child's play.”

Technical benefits guide

We have prepared an article dedicated to all the technical advantages of centralized email signature management with Signitic.

Self-assessment & steps

  1. First: do I need my CTO or IT manager?

To answer this question, it's very simple: check if you have administrator access to the company's Microsoft 365 or Google Workspace account.

  • If yes, that's perfect you are autonomous, go directly to manage your account.
  • If not, move on to the next question.

  1. What should I ask my CTO or outsourcing manager?

To launch your project and become autonomous in managing email signatures, you simply need to connect Signitic with your email. Other synchronizations are possible and available. Each one is Independent. They can be done (or not) and in the order of your choice.

Independently and optionally, you can also add other synchronizations:

  • Directory (AD) : Activate synchronization with your directory. This makes it possible to automate user management (onboarding, evolution, offboarding...)

  • CRM : Activate the synchronization of email signatures with your CRM. This allows you to sign your email when you send a message from the CRM. Learn more about syncing Signitic with Salesforce or Hubspot.

  1. In what order should the synchronizations be done?

The order does not matter. You can first import your user base or synchronize your directory, then activate email sync to deploy everything once the account is set up.
You can also directly activate the sync with Gmail or Outlook, and gradually add users, or change your design and campaigns. Since the changes are synchronized directly, modifying and iterating on your email signatures is a breeze.

Technical FAQ: anticipate possible questions

  1. Is it secure?

Short answer: Yes, Signitic is a secure service, it has been ISO 27001 certified since March 2024. The Signitic service is used on a daily basis by numerous companies and large international groups.
For more details, a page dedicated to ISO 27001 is available, you can also contact us to find out more about our General Information System Security Policy (PGSSI).

  1. Does Significtic change anything?

Yes of course, and for everyone in the company.

  • For your daily brand image, you will finally relay a unified and up-to-date brand image in all email exchanges.
  • To avoid personal friction and to be dependent on the goodwill of each employee
  • To relay communications and up-to-date information
  • For less support on topics that are not strategic for IT but essential
  • For the ease of delivering content to your interlocutors
  • To measure this communication channel

On the Signitic blog you will find all our guides and customer cases.

  1. Couldn't we do it ourselves?

If you have no ambition to communicate with your interlocutors, or a budget, one possibility for your company is to continue to copy and paste its signature, each in his own corner. Or to create a kind of routine internally (it takes a lot of time to do huh...), if you just want to display a block of coordinates.
But if you expect signatures to be an effective marketing and media tool, experience has shown us that it takes years with several full-time CDIs to show a service worthy of the name. So you have every interest in taking advantage of it at a lower cost.
The real question is: should the time of several people on the technical team be devoted to managing email signatures. Short answer: no, chances are low. So go for Signitic, and save time and money.

  1. Do you need an up-to-date AD to get started?

First, what is an “AD”? AD is the acronym forActive Directory, to simplify it is a directory, a database, containing in particular the contact details of employees (name, first name, email...). Problem, this file is often built gradually and the data is not always up to date in it, or disparate depending on the collaborators. One of the topics for IT teams is therefore to ask whether synchronizing an outdated contact source with email signatures is a good idea.

The answer is simple, no need.
Here's why:

1. You can import an extract from your yearbook into Signitic. At launch, employees will be able to check their signature and edit it if necessary.
2. Setting up Signitic is a perfect opportunity to retrieve up-to-date information from employees, and then clean and update your AD.
3. Synchronization with AD is not mandatory.
4. If you do, you can choose to sync only certain fields.

  1. Is this going to take up my tech team's time?

No, Signitic only requires very little time for your IT team or the CTO. Watch in hand, the synchronization between Signitic and your email takes 5 minutes for an admin of your company's Microsoft or Google account.

What can take several hours is choosing how to precisely synchronize your directory with Signitic, depending on your environment and the quality of your data. In short, it's fast. And once this task is done, the technical teams have nothing left to do. The marketing and communication team becomes autonomous: magic!

  1. Are we supported by Signitic?

Obviously yes, our customers are supported throughout the implementation and use of the service. In fact, this is one of the main differentiators of our service. And an aspect recognized in customer reviews.
It is therefore not surprising that the Signitic team has received several awards for the quality of its support and customer support.
